Frequently asked questions

Everything school decision-makers need to know about Nostaview — the accessible-first platform for school memories and yearbook production.

The basics
What is Nostaview?
Nostaview is the Accessible-First School Memories Management Platform. Schools use it to crowdsource photos from parents, students, and teachers via QR code, moderate and curate those submissions, ensure every student is represented through Inclusive Coverage, and assemble everything into a yearbook — all on a single WCAG 2.1 AA compliant platform built for every learner, including SEND students. Accessibility is not a checkbox here; it is the design foundation.
How does it work?
The platform runs an eight-step workflow from first scan to final yearbook:
  • Create an event — an admin creates a QR-linked photo event (e.g. "Sports Day 2026") in about two minutes.
  • Share the QR code — print it, project it, or send the link. Parents, students, and teachers scan it to enter the contributor upload flow.
  • Contributors upload photos — mobile-friendly, no app download required. Repeat contributors can add a shortcut icon for instant re-entry.
  • Moderation queue — every photo waits for admin review before anything else happens.
  • Inclusive Coverage — the system monitors representation and flags any students not yet captured in approved photos. Schools can toggle this feature on or off.
  • Automated Curation Indexing (ACI) — organises approved photos by subject and student for easier yearbook layout work.
  • Auto-generated collages — the platform proposes collage layouts; admins review, edit page numbers, and approve.
  • Yearbook assembly — approved collages feed into the final yearbook, ready for PDF export and print. PDF guides for the full workflow are available in Settings.
Is Nostaview free?
Yes — the Free tier lets any school run one active event with unlimited photo uploads at no cost. No credit card required to start.
  • Basic ($39/month, promotional rate until July 31 2026) — unlimited events, the full moderation suite, Automated Curation Indexing, auto-generated collage layouts, and team collaboration with role-based access.
  • Pro ($349/year, promotional rate until July 31 2026) — everything in Basic plus Inclusive Coverage tracking, advanced RBAC roles, email integration, white-label branding, and the complete yearbook production workflow.
See the full pricing page for a side-by-side comparison.
What counts as an active event?
An active event is one that's currently accepting photo uploads. On the Free plan, you can have one active event at a time. Once an event's upload window closes, it no longer counts toward your active event limit.
For contributors
Do students, parents, and staff need to download an app?
No. Contributors scan the event QR code with any phone camera and upload photos from their mobile browser. No app download, no account creation, and no password are required. The entire upload flow is designed to take under 15 seconds — because the premise of crowdsourced school memories depends on removing every possible barrier to participation. Repeat contributors can add a shortcut icon to their home screen for even faster re-entry to future events.
Moderation & safety
How are photos moderated?
Every submitted photo lands in a pending moderation queue the moment it is uploaded — nothing goes directly to the approved collection. Admins and team members review, approve, flag, or reject photos individually. AI-assisted quality filtering and duplicate detection help reduce the volume of manual review, but final approval on every photo requires an explicit decision from a school-designated moderator. No photo enters the yearbook without that sign-off.
Who can see the submitted photos?
Only school-designated admins and team members with the appropriate role-based access can view the full photo collection. Contributors can view their own submitted photos through a personal session token generated at the time of upload. Photos are never made publicly accessible, indexed by search engines, or shared with any party outside the school's authorised team accounts.
Privacy & compliance
Is student data safe? What do you collect?
Nostaview collects only what is necessary to operate the platform:
  • Photos submitted by contributors
  • Optional contributor name — only if the contributor chooses to provide it
  • Admin account information — email, school name, and state (for registered team accounts only)
No email addresses, phone numbers, or student IDs are required from contributors. No profiles are built on students or minors. All data is encrypted in transit (HTTPS) and at rest. We never sell or share data with third parties.
Is Nostaview FERPA and COPPA compliant?
Yes. Nostaview is built with school compliance at the core:
  • FERPA: Nostaview operates as a "school official" with legitimate educational interest when contracted by a school. No student PII is required for photo submission. Schools retain full control over data access and deletion. Data Processing Agreements (DPAs) are available for any district that requires one.
  • COPPA: We do not collect personal information from children under 13 without school or parental consent. The school acts as intermediary under COPPA's school exception. We collect only photos and optional metadata — no behavioural tracking, no targeted advertising to minors.
  • WCAG 2.1 AA: Every page in the platform is built to meet accessibility standards — full keyboard navigation, screen reader support, and SEND-learner-friendly design throughout. This is not a retrofit; it is how the platform was built.
See the full Compliance Center for detailed documentation on FERPA, COPPA, CCPA, SOPIPA, and WCAG 2.1 AA.
Technical & practical
Can we export photos and yearbook layouts to any printer or vendor?
Yes. Nostaview is entirely print-vendor agnostic. Approved collage pages export as PDFs with editable page numbers. Take the output to whichever yearbook printer, design service, or publishing software your school already uses — there is no lock-in to any printing partner. A full PDF export guide is available in the Settings area of your dashboard.
What photo file formats are supported?
Nostaview accepts the standard formats produced by smartphones and cameras:
  • Images: JPEG, JPG, PNG, HEIC, WebP, GIF
HEIC files from iPhones are handled automatically — no conversion required on the contributor's side. Photos are stored at their original resolution.
How does Nostaview support accessibility and inclusive participation?
Nostaview is built as an Accessible-First School Memories Management Platform, meeting WCAG 2.1 AA throughout every page. This is not a retrofit — it is the design foundation. Every interactive element is fully navigable by keyboard, compatible with major screen readers, and tested against the most common barriers faced by SEND learners, their parents, and school staff. Key accessibility features include: skip-to-content links, clear focus indicators, sufficient colour contrast ratios, and text alternatives for all non-text content. The QR-code upload flow requires no app download or account creation — removing digital literacy barriers for contributors who may be less confident with technology. This inclusive-by-default approach ensures that no student's memories are excluded from the yearbook simply because of a disability, language barrier, or lack of access to a smartphone. Schools can also enable Inclusive Coverage Insights (Basic and Pro tiers) to identify and follow up with any students not yet captured in approved photos — a proactive step toward complete representation. For procurement teams, our platform documentation and Data Processing Agreements are designed to satisfy district accessibility requirements.
